OVERVIEW
The frequently asked questions (FAQs) information answers common questions related to high-level tasks and are not meant to provide information about specific topics that may vary depending on your role or level of access.
IAMONLINE
IAMOnline will be a replacement platform for the HHS Enterprise Portal. It will enable authentication and authorization for all users. The authentication feature will provide single sign-on, multifactor authentication, and password self-service capabilities. The authorization feature enables request management processes, automated access management work flows, certification, and reporting.

Internal: HHS employees, contractors, temporary workers, and interns

External: Non-HHS staff, partner organizations, providers, and third-party vendors

Internal: The username will be provided within the registration email and will be the user’s HHS/DSHS email address.

External: The username will be provided within the registration email.

Citizens: If users are currently using registered email address to authenticate, they will be required to create a new password. If not, they will have to use their email address to log into IAMOnline. The username will be the email address used on the registration form.
Existing external users that have access to the Enterprise Portal do not need to request a new account and will automatically be granted access to IAMOnline. However, they will need to activate their account and set a new password.
New external users will need to request a new account through the IAMOnline sign-in page. Upon registering for an account, users will receive their username in the registration email and set up their password during the registration process.
Passwords will be set up through the registration process.
For internal employees, your Username is your Windows Login information. For external users, please call the help desk at Phone 512-438-4720 or Toll free 1-855-435-7181.
New external users can request a new account through the IAMOnline sign-in page.
REGISTRATION
How will I register for IAMOnline?

You will receive a registration email that provides account information. Please note that the link will only be active for seven (7) days for security reasons. Training materials will be provided.
Partner Organizations and Non-HHS employees are considered external users and can self-register from the IAMOnline sign-in page.
New Partner Organizations can request an account to IAMOnline by following the steps provided below:

Navigate to the IAMOnline sign-in page.

Select the hyperlink labeled Request account as non-HHS employee or register organization.

If the account is for a partner organization that is not HHS, select the option I want to register my organization with HHS and click Continue.

Verify requirements, as listed below, by clicking Continue.

The account is for an employer or organization that is a non-HHS government agency.
-
The account is for an employer or organization that is a partner organization to HHS.
-
The account is for an employer or organization that is not already registered with HHS.
-
The user who is registering the partner organization will complete the registration form.
-
The user must provide the email DSHS or HHS email of the agency sponsor within the form.
-
The user must also provide the contact information of two users to be added to this partner organization account.

If the agency sponsor approves this access request, the two users will become administrators for this partner organization, and they will review/approve/deny future access requests.

Once completed, the user will click the Continue button located on the bottom of the form to submit the form.

Navigate to the IAMOnline sign-in page

Select the hyperlink labeled Request account as non-HHS employee or register organization.

If the account is for a non-HHS employee, select the option I want to request a new account as a non-HHS employee and click Continue.

The non-HHS employee will answer a series of questions to identify which type of organization they work for: partner organization, private business or bidder organization.

If the user selected “yes” to representing any of those organizations, they will be prompted to fill out the associated registration form.

If the user selected “no” to representing all types of organizations, they will be asked if they would like to register as a “Term User” with only EFT access.

If the user selected “yes” to “Term User” access, they will be prompted to fill out the associated registration form.

If the user selected “no” to “Term User” access, the access request will be submitted for review.

Navigate to the IAMOnline sign-in page.

Select the hyperlink labeled Create a new account as a citizen.

Next, complete the registration form and click Sign Up.

Then, the user will be prompted to set up four security methods to protect the account through multifactor authentication.

This will be done through setting password, security question, and assigning a phone and email to the account.

Once the user has completed the set-up process, they will have access to the IAMOnline dashboard.
IMPACT
The HHS Enterprise Portal will be discontinued but applications will be onboarded to IAMOnline each month until that time. See application dashboard here to review application onboarding information.

IAMOnline will be used to address needed upgrades in heightened cybersecurity, single sign-on access, and access management.
Users will no longer be able to access applications through Enterprise Portal account after the application has migrated to IAMOnline.
Users will need to register for IAMOnline as noted in the How do I register for IAMOnline FAQ. The start date will depend on your application. See application dashboard here to review application onboarding information.

No, users will need to move to IAMOnline to retain access to their applications.
Users can access the application either using application URL (redirects to IAMOnline page where user can enter username and password for logging in) or by clicking application tile on IAMOnline dashboard.
Users will have access to their application through Enterprise Portal until their applications go-live with IAMOnline. See application dashboard here to review application onboarding information and dates.

Internal: If you are locked out of your account, follow the current HHS reset password process as outlined here.
External: If you are locked out of your account, you will receive an email notifying you that your account will automatically unlock after thirty (30) minutes.

If you do not remember your password after the account unlock in thirty (30) minutes, you can reset your password by navigating to the Forgot Password link.

If your password needs to be reset before the thirty (30) minutes for urgent reuests, please call the help desk to reset the password.
The IAMOnline session will end due to inactivity, but the user session in the application will continue.
Each approver will have 10 business days to approve or deny an access request.
What happens if no action is taken? Is there any escalation process?
If no action is taken within 10 business days, the access request times out.
This is a known issue, and it will be addressed in the first quarter of 2023.
This is a byproduct of IAMOnline wanting to retain users’ session even when not logged in. A solution is being investigated

Users will be able to access the Help link that will be posted in the footer of the IAMOnline sign-in page. Users will also be able to contact the Help Desk support closer to go-live dates.
